What will you do? Make an impact!
The Administrative Assistant will be responsible for managing and maintaining accurate daily records of plant operations through data entry, auditing, and reporting to support operational and billing processes.
Key Job Responsibilities
- Input daily field notes and plant-side data into the appropriate tracking systems.
- Confirm and record all outbound loads and discharges (e.g., water, sludge, third-party haulers) accurately in internal logs and billing spreadsheets.
- Balance daily incoming, outgoing, and transferred volumes.
- Maintain and distribute daily operational spreadsheets.
- Conduct weekly audits of documentation from multiple sites; reconcile manifests against truck reports and log inventory in daily tracking files.
- Enter weekly reports and discharge data into internal spreadsheets.
- Create and process purchase orders for outbound loads and ensure related data is accurately recorded for reference.
- Support resolution of discrepancies within procurement or inventory tracking tools.
- Assist with converting requisitions into purchase orders and providing daily status updates to the purchasing team.
- Organize, label, and maintain monthly documentation folders.
